This Privacy Policy explains how OpticIntellect ("OpticIntellect," "we," "us," or "our") collects, uses, discloses, and protects information when you access or use our website at https://opticintellect.com/ and our document processing products, APIs, dashboards, and related services (collectively, the "Platform" or "Services").

Use of the Platform and sharing of information by visitors and customers is conditioned upon your acceptance of this Privacy Policy. Definitions

"Agreement" means the documents that govern the Customer's use of the Services, including an order form, master services agreement, subscription terms, or other written terms executed between OpticIntellect and the Customer. "Services" means the document processing, OCR, data extraction, and related products provided by OpticIntellect. "Information" means Personal Data, Technical Information, Location Information, and Non-Personal Information as described below.

Scope and Applicability

OpticIntellect is committed to respecting privacy and maintaining appropriate safeguards for information collected through the Platform. This Privacy Policy describes our practices for collection, usage, processing, disclosure, retention, and protection of information obtained through the Platform and Services, including information provided by Visitors and information processed on behalf of Customers while delivering the Services.

This Privacy Policy applies only to OpticIntellect's Platform and Services that link to this Privacy Policy. It does not apply to third-party websites, services, or platforms that may be linked or integrated with the Services, which are governed by their own policies.

Information We Collect

OpticIntellect may collect Personal Data, which includes information that identifies or relates to an identifiable natural person, such as name, email address, phone number, employer, job title, contact details, or other identifying information provided by a Visitor or processed in connection with the Services.

OpticIntellect collects Technical Information automatically when you access the Platform, including IP address, browser type, device identifiers, operating system, referring or exit pages, clickstream data, timestamps, log data, and performance diagnostics. OpticIntellect may derive approximate Location Information such as city, region, or general location from IP address or device settings when available. OpticIntellect may also collect Non-Personal Information that does not directly identify you, including aggregated usage data, analytics data, crash reports, and system activity data.

When Customers use the Services, OpticIntellect processes "Service Data," which includes uploaded documents, PDFs, images, text files, extracted data, OCR outputs, document metadata, workflow configurations, audit logs, and integration payloads, to provide the Services and support quality assurance. The nature of the Service Data depends entirely on the documents Customers choose to upload and process through our Platform.

How We Use Information

OpticIntellect uses Information to operate, maintain, and improve the Platform and Services, to provide and support document processing workflows, to perform Optical Character Recognition (OCR) and data extraction, to configure and run automations, to provide analytics and reporting, and to deliver customer support and account administration.

OpticIntellect also uses Information to secure the Platform, detect and prevent fraud, abuse, or unauthorized activity, diagnose technical issues, perform system monitoring, and comply with legal obligations. OpticIntellect may use aggregated or anonymized information for research, benchmarking, performance analysis, and product development, and such information is not intended to identify any individual.

AI Processing and Automated Extraction

OpticIntellect uses artificial intelligence, machine learning, and OCR technologies to enable features such as document classification, data extraction, text recognition, and workflow automation. AI processing may involve proprietary models or third-party infrastructure operating under contractual restrictions designed to protect confidentiality and limit use.

AI outputs and extracted data may occasionally be incorrect or incomplete. Customers are responsible for implementing appropriate human review and ensuring that their use of the Services complies with applicable laws and their own internal policies.

How We Share Information

OpticIntellect does not sell Personal Data. We may share Information with service providers and vendors that help us operate the Platform and deliver the Services, including cloud hosting providers, analytics and monitoring vendors, customer support tools, security providers, and payment processors, where applicable. These providers may access Information only to perform services for us and are required to protect it consistent with contractual obligations.

We may disclose Information when required by law, legal process, or government request, or when we believe disclosure is necessary to protect the rights, safety, and security of OpticIntellect, our customers, users, or others, to enforce agreements, or to prevent fraud or misuse. We may share Information in connection with a merger, acquisition, reorganization, financing, or sale of assets, in which case information may be transferred as part of that transaction. However, no system can be guaranteed as completely secure, and you understand that transmission of information over the internet carries inherent risks.

You may also withdraw consent where processing is based on consent, though this will not affect processing that occurred before withdrawal.

If you are a Customer user, requests may need to be routed through your employer or the organization that controls the account and data. We may require identity verification before fulfilling requests.

The Platform and Services are not directed to children, and OpticIntellect does not knowingly collect Personal Data from children. If you believe a child has provided Personal Data to OpticIntellect, please contact us and we will take appropriate steps to delete it.
